ChatterBug Ltd is committed to ensuring the highest possible standard of safeguarding. The personal safety and wellbeing of each patient using ChatterBug Ltd is paramount.

Our systems are chosen/developed with the aim of ensuring that sessions take place in a safe environment. This is reflected in a number of key built-in features and defined a set of Safeguarding Policies and Safeguarding Procedures for the patients, parents/responsible adults and therapists who use this service.
 
 
Legislative Framework/Related Policies
These policies and Safeguarding Procedures aim to ensure that all persons using ChatterBug Ltd services can do so safely within child safeguarding standards and UK law.

Aims
The aim of this policy is to safeguard all patients and other persons using ChatterBug Ltd systems whilst they are within an online session.
This policy document contains the responsibilities of all persons using ChatterBug Ltd, including therapists, patients, parents (responsible adults) and teachers.
It is important that all persons using or working on behalf of ChatterBug Ltd are aware of this policy and have familiarised themselves with the detailed safeguarding Safeguarding Procedures.
This policy should be read and understood before engaging in any activity arranged through ChatterBug Ltd and the responsibilities and Safeguarding Procedures therein adhered to. Contravention of the Safeguarding Policy document could lead to suspension and/or barring from the services.

Registration of SLT’s
ChatterBug Ltd has been designed so that it will only accept sign up and registration from SLT’s who are on the HCPC register. In order to be part of the SLT community, SLT’s must have an active and current HCPC registration and have certificates to demonstrate their qualifications. Without this they cannot be employed.
ChatterBug Ltd conducts a video interview with all employees, regardless of role, as part of the selection process and will request photo identification documents (passport or driving licence, birth certificate, proof of address etc). ChatterBug Ltd will only enrol employees holding a personal bank account in the United Kingdom.
ChatterBug Ltd completes enhanced DBS checks on all employees who enrol and this information will be stored locally within ChatterBug. We also share our safer recruitment information with our clients’ upon request.
ChatterBug Ltd will encourage clients and parents to provide feedback about the Therapists. This enables prospective clients and parents/responsible adults to have confidence with the people employed by ChatterBug Ltd.

Privacy
The contents of all email communications between ChatterBug Ltd, parents and patients will go via our internal email system [Google Suite] in order to keep Person Identifiable Data within the business and not externally.
All data held by ChatterBug Ltd is in accordance with the Data Protection Act 1998 (also see http://chatter-bug.com/privacy-notice/).

Recording of Sessions
The manual recording of sessions has been disabled for general use by ChatterBugs, to mitigate any issues of people being recorded against their will. Sessions will only be recorded where a second opinion is needed, publicity where consent has been obtained, wider staff training, assessment analysis or if there is a need to record in the interests of child protection.
All recorded sessions are held internally on our secure network and will not be shared outside of the company, unless authorised by the respective persons or required by law. The recordings remain the property of ChatterBug Ltd.
ChatterBug Ltd may review any sessions where a report has been made by any person using ChatterBug Ltd for the purpose of investigating the report.
ChatterBug Ltd will allow access to UK law enforcement of any recording where it is reported a criminal offence may have occurred in relation to a specific session.

Roles and Responsibilities of persons using ChatterBug Ltd
The Therapist
The therapist shall:
  • Ensure that their environment does not display any inappropriate images or documentation capable of being viewed by the patient or parent/responsible adult when conducting a session.
  • Treat patients fairly and without prejudice or discrimination; patients who have a disability or come from a minority ethnic or cultural group can easily become victims of discrimination and prejudice which may be harmful to the patients wellbeing.
  • Always ensure language is appropriate and not offensive or discriminatory.
  • Ensure any contact with the patient is appropriate to their role as a therapist and confined to the relevant session.
  • Not make any improper suggestions to a patient.
  • Not send unsolicited communications to the patient or parent/responsible adult.
  • Value and take patient contributions seriously.
  • Report any dispute with a patient, parent/responsible adult, or another therapist to ChatterBug Ltd, in accordance with the Safeguarding document.
  • Report any inappropriate behaviour or illegal activity identified within a session by the patient or third party, in accordance with Safeguarding Procedures.
  • Ensure that if no parent/responsible adult is present during a session that the session does not go ahead, unless they are over the age of 16 and providing they are comfortable to continue the session; if not, they can terminate the session.
  • Be aware that the recorded sessions are available for review.
  • Ensure that they are appropriately clothed/dressed. Being partially or fully naked is deemed highly inappropriate and any sessions will be stopped immediately where this is the case. This is to safeguard our patients and staff.


The patient
Patients can be registered with the service but cannot start using the service until a sponsor/parent/guardian/carer over the age of 18 has formally registered and have provided consent.

The patient shall:
  • Treat the therapist with respect and fairness, and not subject them to abusive behaviour or language.
  • Not make any improper suggestions to the therapist.
  • Have no inappropriate communication with the therapist outside the lesson session.
  • Report any dispute with a therapist to a parent/responsible adult.
  • Report any inappropriate behaviour or illegal activity by a therapist within a session.
  • Ensure that they are appropriately clothed/dressed. Being partially or fully naked is deemed highly inappropriate and any sessions will be stopped immediately where this is the case. This is to safeguard our patients and staff.


Parent/Responsible Adult
The parent/responsible adult shall:
  • Ensure the patient is fully aware of the ChatterBug Ltd Safeguarding Policy where applicable.
  • Always be responsible for the welfare of the patient during the session.
  • Always be responsible for the physical environment of the patient during the session ensuring it is safe and appropriate.
  • Be present during a session so any concerns encountered by the patient can be reported as soon as possible and ensure the patient and therapist are behaving in an appropriate manner.
  • Ensure that therapists will be treated with respect and fairness by the patient and will not be subjected to abusive behaviour or language.
  • Ensure that no improper suggestions are made by either the therapist or patient .
  • Ensure the patient has no inappropriate communication with the therapist outside the lesson session.
  • Report any unsolicited communications between the therapist and patient if appropriate.
  • Report any dispute with a therapist to ChatterBug Ltd in accordance with Safeguarding Procedures set out in this document.
  • Report any inappropriate behaviour or illegal activity by a therapist in accordance with Safeguarding Procedures set out in this document.
  • Ensure that the patient is appropriately clothed/dressed. Being partially or fully naked is deemed highly inappropriate and any sessions will be stopped immediately where this is the case. This is to safeguard our patients and staff.


School and Teachers/School Representative (If session is within school hour and on school premises)
For the purpose of this policy document a “responsible adult” includes teachers and school representatives.

The school and teachers or school representative shall:
  • Be responsible for the welfare of the patient during the session.
  • Be responsible for the physical environment of the patient during the session, ensuring that it is safe and appropriate.
  • Be responsible for behaviour of the patient during the session, ensuring that therapists will be treated with respect and fairness and will not be subjected to abusive behaviour or language.
  • Ensure that no improper suggestions are made by either the therapist or patient.
  • Be present or available for the patient during the session to address any issues.
  • Report any dispute with a therapist to ChatterBug Ltd in accordance with Safeguarding Procedures set out in this document.
  • Report any inappropriate behaviour or illegal activity by a therapist within a session in accordance with Safeguarding Procedures set out in this document.
  • Ensure that the patient is appropriately clothed/dressed. Being partially or fully naked is deemed highly inappropriate and any sessions will be stopped immediately where this is the case. This is to safeguard our patients and staff.


If the lesson session has been arranged by the school but takes place outside school hours and away from school premises, it is the responsibility of the school to make the appropriate parent/responsible adult aware of the Safeguarding Policy and that both parties agree their safeguarding responsibilities.

Director/Management of ChatterBug Ltd Services
The Director/Management of ChatterBug Ltd shall:
  • Conduct a full interview and enrollment with therapists before they are permitted to join the ChatterBug Ltd community.
  • Ensure that any dispute between persons using the ChatterBug Ltd services is handled efficiently and fairly without discrimination in accordance with the Safeguarding Procedures set out in this document.
  • Deal with reports of possible illegal activity promptly, ensuring the safety and wellbeing of the patient and/or therapist in accordance with the Safeguarding Procedures set out in this document.
  • If any incident is reported to the police relating to a specific session, make any related recording available for the police to use as evidence in any proceedings if appropriate.
  • Regularly review the Safeguarding Policy and Safeguarding Procedures to ensure they are relevant and adequate to safeguard all persons using the ChatterBug Ltd services.


Compliance
All persons using the ChatterBug Ltd services have a responsibility to familiarise themselves with the Safeguarding Policy.
Any therapist reported for a breach of the Safeguarding Policy will be suspended from the site until the incident has been investigated by the appropriate authority. The reporter may be informed of the resolution if appropriate.
The final decision on action taken for minor breaches of the Safeguarding Policy will be the responsibility of ChatterBug Ltd.
Any person reported for illegal activity whilst using the ChatterBug Ltd services will be reported to police and will be barred from the service.
Any person reported for causing harm to a patient or subjecting the patient to sexual abuse will be reported to police and barred from the service.

Review
The Safeguarding Policy and Safeguarding Procedures will be reviewed by ChatterBug Ltd on a regular basis to ensure it is adequate and relevant to safeguarding standards.
